Camp Wellville — Reservations & General Policies (2026)

Reservation Periods & Priority
Early Registration Period
The Early Registration Period is defined as the month prior to the Normal Registration Period.
During this period, seasonal campers may renew their previous year’s location by emailing Reservations@CampWellville.org.
Upon receipt of the reservation request email, a Reservation Invoice will be issued and the availability matrix will be marked “Occupied.”
If a seasonal location is not reserved during the Early Registration Period, it will become available during the Normal Registration Period.
Caretakers, Board of Directors (BOD) members, and Rollstone Congregational Church members may request weekly reservations for any location and week other than a location that was seasonal in the previous year by emailing Reservations@CampWellville.org.

Payment Terms:
A deposit of at least 50% must be received within 30 days of the Reservation Invoice being sent.
The remaining balance is due no later than June 1.
If the deposit is not received by the due date, the camper will be reminded and granted a one (1) week grace period.
If payment is still not received after the grace period, the location will again become available for reservation.
Reservations made after May 1 require full payment at the time of reservation.
Normal Registration Period
The Normal Registration Period begins at 9:00 a.m. on February 14.
Reservation requests are processed based on the date and timestamp of submission.
Only one (1) cabin or tent site per submission, multiple weeks on the submission are OK.
Reservations are reviewed by a Reservation Coordinator appointed by the Board of Directors.
If the reservation meets guidelines established by the Board, a Reservation Invoice will be issued and the availability matrix marked “Occupied.”

General Policies
Confirmation & Payments
A reservation is confirmed only when a Reservation Invoice is issued and payment is received under the terms above.
Deposits and payments are refundable only for emergencies and only after review by the Board of Directors.
Full balance must be paid by June 1st
Occupancy Limits & Fees
Six (6) persons maximum per cottage or campsite.
Occupancy over six incurs a $5.00 fee per additional person per night, payable to the Camp Director.
Anyone staying at camp more than three (3) days must fill in a registration form
The Camp reserves the right to transfer assignments if necessary, and to refuse or terminate reservations for just cause after Board review.
Cottages & Campsites
Cottages/campsites without paid reservations may not be occupied and may not have belongings or vehicles stored there.
Campers/trailers stored for winter must be removed before camp opening, unless there is a reservation for the first week.
During the season, all trailers must be on a paid site; owners who do not remove trailers may face legal action.
Pets
If a camper brings a pet, the Camp Director may require a $100 check at or before arrival; the check will be returned uncashed at departure if no damage occurs, or cashed to cover damage costs.
Dogs must be leashed and are not allowed on the beach or adjacent picnic area.
Wastewater / Trailers
Every trailer must own a honey wagon and use it for all wastewater.
All wastewater must be contained within the trailer or in the external containment unit.
Failure to comply results in immediate eviction without refund.
Correspondence & Administration
All correspondence will be documented by email through the address Reservations@CampWellville.org.
The date/timestamp of the initial reservation request will be used to prioritize processing of reservations.
The Camp Wellville, 199 Main St, Fitchburg, MA 01420 address will be used for all written correspondence including payment by check.
A phone number {978 337-1608} will be available for questions, but only communication by email will be “official”.
At a mutually agreed time in mid-June the reservation responsibility will be turned over to the camp director
